Clinic Office Worker

GENERAL STATEMENT OF DUTIES: The Front Office Clinic Staff Position responsible for managing non-clinical patient flow and supporting functions.

ESSENTIAL FUNCTIONS:

  1. In Consort with Practice Manager, coach and lead all front office staff to instill the organization’s mission, vision and core values through education, demonstration, huddles and results.

  2. Demonstrate outcomes as measured through established metrics and patient satisfaction survey.

  3. Ensures, coordinates and leads through demonstration the responsibility for all clinic staff to collect patient copayments and past due accounts.

  4. Ensure and coordinates all clinic staff verify demographic and insurance information via real time eligibility or utilizing payor websites.

  5. Leads staff to efficiently direct patient flow throughout the clinic.

  6. Assist front office staff as needed with checking in and out patients. Assists back office as needed with referrals and prior authorizations.

  7. Assists practice manager with medical records requests and other external requests.

  8. Assists with audits of charts and gathering of all information.

  9. Interacts with patients and customers on a daily basis to resolve patient issues and concerns.

  10. Works in partnership with the physicians, physician assistants and back office staff to provide excellent customer service.

  11. Handles taking and placing messages on charts and to the appropriate person.

  12. Makes appointments according to guidelines set forth by Practice Manager.

  13. Assisting the practice manager in placing office supply orders and inventory management.


 

Requirements

EDUCATION: 
High School diploma or GED.

Medical coding background (not required) 

EXPERIENCE:

  • Up to three years working experience in a medical practice or clinic. Previous supervisory experience in a medical clinic setting is preferred. Must have a working knowledge regarding medical insurance requirements.

  • Must have excellent interpersonal and communication skills. Demonstrates an ability to generate creative and innovative approaches to solve problems. Must be customer service focused.

 

 

KNOWLEDGE:

  1. Knowledge of front/back office procedures and patient flow.

  2. Knowledge of clinic payment policies and procedures.

  3. Knowledge of medical terminology.

  4. Knowledge of medical insurance plans.

SKILLS:

  1. Skill in effective management of clinic staff.

  2. Skill in training/mentoring clinic staff.

  3. Skill in delegating work duties to staff.

  4. Skill in creating/maintaining a professional and pleasant atmosphere.

ABILITIES:

  1. Ability to resolve customer service issues and identify areas of improvement.

  2. Ability to use interpersonal skills to establish/maintain positive relationships with patients, families, providers and staff.

This will be a part time position. Hours and Days are as follow: Mon- Thurs 12:30 - 5:00pm and Fridays 8:30 - 5:00pm. Other hours and days will be available and scheduled accordingly.
